You can export inventory data from Stock management or Take stock to .xlsx, .xls, or .csv directly from the mobile app. This guide covers the in-app export flow, what the Products sheet and Transactions sheet contain, and the Android-only Google Drive backup option.

The exact share and storage destinations depend on the apps and cloud drives available on your device.

Before you export

  • Open the inventory you want to export.
  • Decide whether you need a product snapshot, the full entry history, or both.
  • If you want recurring backups to Google Drive, connect your Google Account first on Android.

What happens after you tap Export inventory

Mobile Inventory opens your device's save or share flow. From there, you can store the file locally, send it to another app, upload it to cloud storage, or Print / Save as PDF when that option is available. The export usually contains a Products sheet and a Transactions sheet.

Understand the Products sheet and Transactions sheet

The default export is split into a Products sheet and a Transactions sheet.

How images appear in the export

  • Cloud-stored images: the exported cell contains a direct link to the image file.
  • Locally stored images: the exported cell contains the image filename stored on the device.

Choose where to send the exported file

Save locally
Store the file on your device for offline access or manual transfer.
Share
Send the file with your device share sheet, including email or messaging apps.
Cloud storage
Save the file to services such as Google Drive, Dropbox, or OneDrive if they are available on the device.
Print or PDF
Print the report directly or save it as a PDF if that option is available in the export flow.

Automatic export to Google Drive (Android only)

Google Drive permissions

When you connect Google Drive, Mobile Inventory can create and manage files in its own Mobile Inventory folder. It does not need access to the rest of your private Drive content.

  1. Connect your Google Account in the app and grant Google Drive access.
  2. Let the app create the Mobile Inventory folder in the root of your Google Drive.
  3. The app can then export inventory data automatically to that folder in the background.

Customize the export file

  • Choose which standard fields and Custom Fields appear in the export.
  • Rename headers to match an ERP, spreadsheet template, or reporting format.
  • Change the order of the exported columns.
  • Adjust which information appears on each sheet.
  • Choose .xlsx, .xls, or .csv based on the workflow that will consume the file next.

Check the exported file

  • Open the file and confirm it loads correctly in your spreadsheet app or PDF viewer.
  • Check that the Products sheet and Transactions sheet contain the data you expected.
  • Verify custom fields, locations, tags, and image references if other systems depend on them.
  • If you need recurring backups, test the Google Drive destination after the first successful export.
